Retain custom field information in calendars you import from other programs
To get the best results when you import calendars that contain custom field information, you need to prepare your Trumba® calendar for importing before you import the file.
Import custom field information from another program into Trumba Connect
- Export your calendar from the program in which you created the calendar, making sure that all of the appropriate fields are included in the file, and that their names are correct and do not conflict with the Trumba Connect field names.
- In Trumba Connect, if no fields exist for your custom data, create custom fields that correspond to those in the calendar you want to import. For example, you might have a field called Event created by that contains a person's name (single line of text).
- Create a new event type that includes all of the appropriate fields, including custom fields you created in the previous step.
- In Trumba Connect, import the file you exported from your other program, and in the Map Fields step, make sure that the custom fields are mapped correctly (they should be automatically if your field names match).
If a field is mapped to Don't Know, or is mapped incorrectly, select the correct Trumba Connect field from the drop-down list.
If you do not want to import a field in the list on the left side, set it to Dont Know on the right side.
- Complete the import process and display the calendar into which you imported the file.
- Click the blue Settings button, and for Default Event Type, select the new event type you created.
New events you create in this calendar will be set to this new type.
When you edit an event that you imported, you can see that the custom field information is included. If an event you imported does not contain any data in the custom fields, the fields do not appear in the Event form. If you want to enter data for a custom field, set the event type to the type that you created.
Prevent field name conflicts when importing
Some things to consider when you export calendars from another program to import into Trumba Connect (or vice-versa) are:
- In different programs, the same type of information might be stored in fields that are named differently.
For example, in Outlook, you enter the name of your event in a Subject field, and in Trumba Connect, you enter it into a Description field.
When you use custom fields in another calendar program, make sure that the information you put in these fields won't by default import into a different field in Trumba Connect. If there's a field conflict, some data could not be imported because other data takes its place.
- Similarly, if you have multiple people editing your calendar, make sure that two people don't create the same field for different purposes.
