Send a set of events by email

You can remind people of your upcoming events by sending calendar email. You can send email manually whenever you want, or automatically on a recurring basis. For example, if you run a wine shop and offer frequent tastings or have regular customers who ask for your latest recommendations, you can send monthly updates that list your upcoming events and arrivals.

Send a one-time or recurring email message

The following procedures explain how to set up a distribution list and send email for the first time. If you have already sent email from your calendar, the Email Publishing Wizard displays a page on which you can edit existing settings, including cancelling a scheduled message.

To send a one-time email message

  1. Display the calendar you want to send, and then click the Email button at the top of the window.

  2. Click Send a One-time Email.

  3. In the To box, select the check boxes for the people you want to include, or click Edit Distribution List to create or edit the distribution list.
  4. Enter a subject and compose your message, specify whether you want to include calendar events, and click Refresh Preview to see your latest changes.
  5. When you're finished, click Send Now.

To send a scheduled, recurring message

  1. Display the calendar you want to send, and then click the Email button above the calendar.

  2. Click Set up Scheduled Email.

  3. Create or edit the distribution list. When your distribution list is complete, click Next.
  4. On the next screen, specify the following:
    • How frequently you want the message to be sent and whether you want the first message sent immediately.
    • How much of the calendar to send each time.
    • What other calendars' events you want to include.
    • Whether to send automatic email updates when you change your calendar.

      Automatic updates are sent in addition to the regularly scheduled messages, and they are sent on the same day that you edit your calendar. You can enable or disable all updates, or you can disable updates individually. For more information, see Send calendar email updates between scheduled messages.

  5. Enter the personal message you want to send with the events, and then click Next.

    The final page shows a preview of how your email message looks.

  6. Click Finish.

About email that Trumba Connect sends on your behalf

When you send calendar updates through email, your calendar name appears in the From box in the recipient's email message. The address associated with your name is a Trumba calendar address, which helps to keep your personal email address private. If a member of your distribution list replies to your message, the message is forwarded to your sign-in email address.

Trumba email messages also provide recipients with the following information:

  • The reason the message was sent to them.
  • Options they can use to remove their names from your email list.
  • Instructions for contacting Trumba directly to report problems or email abuse.

Note The people you send Trumba email to won't receive your messages if their email clients or Internet Service Providers treat messages from Trumba Connect as spam. For information about how they can solve this problem, see Troubleshoot receiving Trumba email messages.
